What can I edit after a form has been published?

Form Layout and Widgets

You can add and remove widgets after a form has been published, effectively hiding the data from forms where those widgets were used. You can also change the layout of a published form.

Form Name

A published form's name can be updated after being published and will update all previously submitted observations using that form.

Form Settings

Since form settings affect the behavior of a form, you can always edit those behaviors after a form has been published. This affects all future observations launched using these form settings.

Row Information

Row names and descriptions can be edited after a form has been published even though you cannot change the numerical scoring information related to a row. This can be useful if your school/district changes the nomenclature for a given measurement or would like to expand upon what a given measurement should be used for. Remember that previously completed forms will show their information with your updated row information and consider how that might affect your data!

Note: Making a row that was previously NOT required, required (and vice versa) does not alter the data on previously completed forms/rows. 

Note 2: Making a row private/not private will impact reporting of previously completed forms.

Measurement Labels

While you cannot change the numerical scoring information related to a row, you still have the ability to change the labels related to a number value.

Adding New Rows

Once a form is published, its rows are locked in place. You can, however, add new rows to a form! Remember when adding new rows that your new rows will not be included in the overall form score for previously finalized observations.

 

What can I not edit after a form has been published?

Scores

You cannot change the scoring information related to a form once it's published. This includes:

  • The status of the "Is this form score-based?" toggle
  • The overall scoring scale of the form
  • The overall score average type of the form
  • Weights for rows or strands
  • Number values associated to measurements

Removing Rows

As mentioned previously, once a form is published, its rows are locked in place.

If you archive a row on an active form, it will retroactively remove the row from previous iterations of the form and will not be displayed on reports. Archiving a row makes it completely inaccessible and is intended to be a separate process from archiving a form.

What can I do if I need to edit a form after it's been published?

Edit a published workflow using the following steps:

  1. Clone the form - creating a copy of the form will make duplicates of all the rows and the form layout in a draft state so that you can edit what you need
  2. Rename the old form and hide/archive it - add "(not in use)" or "(out of date)" to your old form to differentiate this form from your new one. This also allows you to use the name of the old form since form names must be unique.
  3. Rename the new form and make edits - now that you've changed the title for your old form, you can use the unique name from the old form and edit your new form as needed
  4. Publish your new form
