Learn how to configure observation and/or evaluation cycles for your district.
Please note: This article is primarily for users with a Sub Admin role and above.
The Cycles Dashboard is a great tool to ensure your users provide and receive the necessary feedback. What can you use cycles for? Here are some examples from our partners:
- Beginning-of-the-year or end-of-the-year evaluations
- Mandatory coaching conversations & meetings
- Required self-evaluations
This article will walk you through setting up cycles at your network or school.
Turning on Cycles
You can turn on Cycles in System Settings. Click your name > System Settings.
Search for Cycles and then toggle on Cycles. You can also edit how many days out from the cycle due date that the cycle should turn red (like on the Touchpoint Dash!) For our example, we've set this date to 14 days out. Make sure to click Save Settings once you've finished.
Setting up Cycles
Go to Config > Cycles Setup.
Click Add Cycle.
Provide a name, start date, and end date for your cycle. Only touchpoints within this timeframe will count toward this cycle. Next, use role and user types/tags as needed, to identify who is an observee in this cycle. If you'd like, you can toggle on "Require only one category match?". If you select this option, users will only need one of the categories to match their user profile. Next, click Add Event.
As you craft your event, here are some things you can include:
- Name of the event
- Count of how many times this event should happen within the cycle
- Denote between Observation or Meeting. Either one can be an event that counts for this cycle.
- Denote whether this touchpoint should be from the evaluator or a self-evaluation.
- Select the relevant Form for this event
- Determine if any selected metadata should be linkable for this cycle. (Toggling this setting on will use the metadata options below to filter what events appear in the popup of linkable events. An event with all of the selected metadata will appear as an option. Metadata matches are checked after form matches, if any)
- Select relevant metadata from the dropdown, if applicable
- Click Create.
Your cycle has now been created! Follow the same process to add additional events to your cycle. You can always:
- Clone the cycle to create an exact copy (i.e., if the exact same cycle happens a few times a year and you just need to switch the dates).
- Edit the cycle.
- Delete the cycle.
When coaches navigate to their cycles dashboard, they'll see these required events and will be able to schedule and complete each observation/meeting from there. Do you need help brainstorming or creating your cycles? Reach out to your Customer Success Manager with any questions!
