A comprehensive guide to preparing for a new school year with Grow
On July 1st, your “School Year Start Date” will be updated to the current year. This will move all data to “Past Years’ Data” on individual user profiles, and will reset the Touchpoint Dashboard to start fresh for the new school year. In the date range dropdown on reports, you will now see the new school year as an option, and can access all data from last year under that school year in the dropdown. No data will be deleted, and all users and configurations will remain in place by default.
Preparing for Relaunch
As you prepare for the coming school year, use this checklist to ensure your team is ready to hit the ground running with Grow:
Step 1: Update users
As you transition to a new school year, you likely have staff members who are leaving, joining, or transitioning to a new role on your team. It’s important to ensure that the correct users have accounts in Grow and that their roles and other details (e.g., course, grade, job title, primary coach) accurately reflect their current position. See below for instructions:
| Scenario | Action | Resources |
|---|---|---|
| If you have only a few staffing changes | Manually archive, edit, and add individual users as needed | |
| If you have more than a few staffing changes | Mass-update your users | |
| If your team uses Grow’s SFTP to automate user uploads |
Automated syncs: No action is needed One-off syncs: Conduct syncs when needed Interested in this option, and have someone on your team who is adept with SFTP configuration? Reach out to your Customer Experience Manager! |
How to Configure User Uploads via the SFTP |
Additional User Management Resources:
Set up Coaching Groups if you’d like to limit coaches’ access to only those on their direct caseload.
Designate a “Primary Coach” for each teacher so that they can easily request feedback, and so that coaches can toggle between the full staff list and their “primary coaching load”. Coaching loads can be configured from the teacher profile or user upload by designating a “primary coach” for each teacher, or can be configured from the coach’s profile.
Step 2: Make configuration changes as needed
Do you have any new observation forms, meeting templates, or focus areas going into the new school year? Are you adding any new schools, grades or courses? Do you want to begin using any additional features in Grow? This is a great time to make those updates!
| Scenario | Resources |
|---|---|
| I have a new observation form or meeting type | |
| I want to remove an observation form or meeting form | Remove an Observation Form or Meeting Type |
| I need to set up new coaching cycles/windows for this year | |
| I need to update my Lesson Plan Feedback forms and/or cycles | |
| I need to add a new school, course, or grade | |
| I want to add a list of Action Items for coaches to select | Add a List of Action Item Options |
| I want to organize my Action Items for better reporting | Set up Tags |
| I need to organize my users, observations, meetings, and/or schools for easier reporting | Metadata Overview |
Step 3: Consider your training needs
Would your staff benefit from a refresher training? Are there new expectations you want to set for how your team should use Grow? Do you have new staff members who need a Grow 101 training? There are a variety of ways you can address these needs.
| Scenario | Action | Resources |
|---|---|---|
| I would like self-paced, self-guided training for my staff. | Utilize Grow’s in-platform guides! Review the options, and assign your staff the walkthroughs that best suit their needs | |
| I would like to conduct my own training for my staff, incorporated into our existing PD. | Use Grow’s In-House Training Guide to support you as you plan (there is a sample training deck included!) | Download below |
| I would like SchoolMint to lead virtual or in-person training for my staff | Reach out to your CXM to discuss pricing and availability! | |
Congratulations! You’re now ready to kick off the next school year with Grow!
